The IJM Australia Advancement Office was established in 2014 to fuel IJM’s global mission by mobilising Australians’ resources and influence to protect people living in poverty from violence.
The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50% and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Senior Coordinator, Finance & Compliance.
This position is based in Sydney, Australia, and reports to the Director of Finance & Compliance.
Responsibilities:
Networking & Partnership
- Manage the Accounts Payable Supplier Ledger including names, addresses, ABN & GST status checking, bank account details, payment terms, and IJM Watchdog Vendor Vetting.
Policies and Procedures
- Regular review of statutory regulations on taxes, employee benefits and pension and recommend updates, as necessary.
- Support the Director of Finance and Compliance in the roll out of updated finance policies and procedures.
- Continuously review finance operations to enhance processes and strengthen controls.
- Implement finance policies/procedures/controls, as needed.
Communication
- Support the Director of Finance and Compliance in sending email reminders on key finance requirements and updates.
Training and Development
- Assist the Director of Finance and Compliance in conducting staff training on Finance standards, policies and procedures.
- Attend grant trainings conducted by APAC Regional and Global Finance teams for cascading to staff.
Documentation, Reporting & Data Management
- Receipt and secure approval for invoices to be paid and record transactions in QuickBooks.
General Accounting & Statutory Compliance
Grant Management
- Review the sub-awardee quarterly acquittals/financial reports ensuring that expenses reported are eligible for donor funding.
- Coordinate with APAC Regional Grants Lead on submission of donor reports within the agreed deadlines.
- Support the Director of Finance and Compliance in preparing grant financial report and submission within the deadline.
Accounting
- Support the Director of Finance and Compliance on month-end activities such as monthly bank reconciliations, updating the Accounts Payable and Accounts Receivable ledgers.
- Prepare weekly cash management reports and submit to the Director of Finance and Compliance for review and discussion.
General tasks
- Support the Director of Finance and Compliance in general accounting and financial reporting tasks, as required, including Monthly/Quarterly Budget vs. Actual Management Report and Finance, Audit & Risk Committee/Board Reporting packages, and maintaining financial records (both hard copy and online) to comply with statutory requirements.
- Assist the Director of Finance and Compliance in any accounting or financial reporting tasks as required.
Requirements:
- Holds a professional qualification in Accounting or Degree in Accounting, Business or Administration
- Experience in general accounting and bookkeeping, expense and Accounts Payable ledger management.
- Experience in Australian regulatory compliance and reporting frameworks for NGOs highly desired.
- Knowledge of operating financial systems (e.g.: QuickBooks / Workday) or other accounting software.
- Proficient in the use of Microsoft Office products (Outlook, Word, Excel)
- Excellent analytical skills and ability to accurately interpret documents and policies.
- Excellent written and verbal communication skills
- Strong capacity to follow, evaluate and improve processes.
- Excellent time management skills and the ability to self-manage priorities and workload.
- Ability to create and maintain accurate process documentation.
- Takes initiative to identify risks and raise issues.
- A keen attention to detail.
