The Need
For 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Lead, Grants Oversight to manage grant implementation, compliance, and reporting for IJM’s OSEC Hub; with the objective of exposing, neutralizing, and deterring online sexual exploitation of children globally.
The Lead, Grants Oversight will manage a grant portfolio, ensuring that all donor expectations are met, implementing teams are equipped for success, and grant deliverables are achieved on time and in alignment with project budgets. The individual will work with teams across the OSEC Hub in achieving all grant related objectives in support of the larger goal of combatting OSEC and engaging with various internal and external stakeholders relevant to achieving these objectives. He/she will maintain the organization and guidance of their portfolio’s documents in the Grant Team OneDrive and SharePoint sights.
The ideal candidate is a leader who brings experience of grant management, reporting, navigating the grant application process and coordinating multi-stakeholder projects, providing exceptional organization, efficiency and clarity to coordinate grant-related projects. The individual will help implementing teams be efficient and aligned on key existing grants, future grant applications projects, and meet project reporting timelines and deadlines. The Lead, Grants Oversight will work closely with internal and external IJM stakeholders across the OSEC Hub and IJM Advancement Offices.
This position is based in the Philippines and reports to the Head of Grants Management and Acquisition.
Responsibilities:
Strategy & Knowledge Development & Implementation
- Develop analysis, implement systems and/or processes to monitor procedures to ensure proper stewardship throughout the grant’s lifecycle from planning, implementation, assessment, evaluation to final close out.
Networking & Partnership
- Manage, maintain and foster relationships with the implementing project teams and finance including subgrantees in obtaining project updates related to reporting grant activities to the grantor in line with targets and implementation;
- Build relationships of reliability and trust with donors, grant officers, and Advancement Offices in portfolio;
- Attend Global Grants cohort meetings to foster cross-regional relationships with other grant subject matter experts.
Policies and Procedures
- Ensure full compliance with both donor and IJM Global grant obligations including reporting, budgeting, timeline and all other specified grant policies related to project objectives;
- Assist in developing proposal or concept papers for potential funders;
- Support on procurement, contracting, and subawards for grants in portfolio;
- Build process documents and checklists for best practices in grant management.
Communication
- Review and recommend options for the continuous improvement of policies, procedures, system enhancements to increase the efficiency and effectiveness of service delivery and administration and monitoring of projects for the OSEC Hub;
- Develop and implement effective communication strategies on project achievements and successes, providing updates to the organization, partners, and subgrantees on program implementation, coordinating with the Brand, Media and Communications Team when appropriate;
- Maintain close internal communication with Advancement Offices.
Research, Program Management and M&E
- Support timely response to grantor requests related to grant agreements, budgets, activities, spending, and reporting;
- Review, communicate, and monitor compliance with grant requirements;
- Coordinate with the MERL Team to ensure data (contributing to indicators) for grantor reporting is correct, up to date, and readily available;
- Develop a grant management system/process for all grants in portfolio to manage the specific project requests, reporting and timelines.
Documentation, Reporting & Data Management
- Coordinate, support, and facilitate the preparation of timely and quality reports on all grant project activities in compliance with the grantor and IJM’s internal processes;
- Coordinate the report writing process by project managing the writing of the report, to be written by implementing teams. Roll out clear guidance on due dates and content needed. Ensure reports are cohesive and directly report on progress towards grant objectives and theory of change;
- Report grant performance and accomplishments versus targets, track and monitor grant modifications and amendments;
- Monitor and document the grant workflow processes, forms, templates, reports and data to assure full compliance with internal controls and legal requirements;
- Support the maintenance of a database for all grant documents, ensure all documents related to personal grant portfolio are retained;
- Document minutes of relevant meetings and distribute as needed;
- Ensure that all grant management reports are well written, appropriately reviewed and approved, and documented promptly;
- Monitor grant activities, milestones and assess compliance including identification and documentation of any deviations from the intended purpose of the project.
Clerical and Administration
- Manage the grant team budget and quarterly forecasting;
- Maintain repository of files in Grants Team SharePoint folders.
Financial Management
- Work with Grant Accountant to analyse monthly grant BvAs in personal portfolio;
- In coordination with the Grant Accountant, review BvA findings with implementing teams monthly, taking steps to redistribute budget as needed;
- Provide support in managing the OSEC Grant Team’s budget within the National Executive cost center, updating for each quarterly and annual forecast.
General Tasks
- Protect the intellectual property rights of IJM by implementing knowledge management;
- Provide logistical support and content for IJM visitors on an as needed basis;
- Engage in a professional development course of choice, as agreed upon by Head of Grants Management and Acquisition;
- Perform other related duties and tasks as assigned by the Head of Grants Management and Acquisition;
- Participation in IJM’s community of spiritual formation.
Qualifications:
- Bachelor’s degree in a relevant field of study from an accredited university is required;
- Has working knowledge of industry standards in program design, planning, and grant management is required;
- Certified in Project Management Professional (PMP);
- Has Data management experience, familiarity with data systems and business processes specifically grants related experience including writing, reporting and coordination;
- Proficienct in Microsoft Office (Word, Excel and other software);
- Fluent in English speaking and writing;
- Has strong knowledge of project management and process development;
- Has technical knowledge of grant management, documentation, reporting and monitoring;
- Has technical knowledge on grant related polices, guidelines, and requirements of various funding agencies;
- Able to explain policies, rules, and regulations in a clear and approachable manner;
- Able to facilitate meetings and coordinate the work of teams;
- Able to map project activities to budget lines and conduct ongoing management.

*What is a statement of faith?
A statement of faith should describe your Christian faith and how you see it as relevant to your involvement with IJM. The statement can either be incorporated into the cover letter or submitted as a separate document and should include, at a minimum, a description of your spiritual disciplines (prayer, study, etc.) and your current fellowship or place of worship.
