Finance Administrator - Delhi, India
The Need
International Justice Mission (IJM) is a fast growing international organization working to protect some of the most vulnerable and oppressed people from violent forces of injustice by securing rescue and restoration for victims and ensuring public justice systems work for the poor. IJM is seeking a talented Finance Administrator to handle the accounting and administrative activities of a new field office in Delhi, India. We are looking for someone who is passionate for the IJM mission and who is very interested about using his/her financial skills and experience to ensure stewardship and accountability among Field Office staff. This position is based in Delhi, India and reports to the Field Office Director.
Responsibilities
Financial Reporting & Monitoring
- Ensure the field office complies with all of IJM’s financial policies and accounting requirements, government regulations, and other restrictions;
- Prepare monthly financial, quarterly and annual financial reports for headquarters and auditor;
- Ensure that spending is authorized, in accord with the budget, and follows principles of good stewardship;
- Prepare monthly budget vs. actual reports for Field Office Director and Headquarters;
- Maintain cash flow in all accounts. Assess monthly cash needs, request wire transfer from headquarters through Regional Accounting Manager, South Asia;
- Train all field office staff in financial policies; and
- Perform internal control procedures as needed, including small tools and asset inventories.
Payments & Accounting Transactions
- Maintain petty cash record, count and tally petty cash with Quickbooks at the end of the day;
- Reconcile bank and petty cash accounts monthly;
- Reconcile all expense reports and cash advances, reviewing daily PRFs, journal vouchers and related documents for accuracy, completeness and conformance to applicable policies;
- Issue business related cash advances to employees and maintain balances in financial system, reconciling each cash advance before issuing a new advance or at least monthly;
- Ensure the prompt and accurate payment of vendors;
- Make all payments for office expenses and any recurring payments;
- Process payroll, manage payroll deductions/withholding; ensure timely payments and reporting to appropriate agencies;
- Review timesheets, prepare timesheet allocations, prepare PRF as per proper class
- Ensure that all appropriate taxes and employee benefits are promptly paid and related documents issued; and
- Enter daily transactions into accounting software and ensure entries are up to date and accurate each day.
Administrative & Other
- Communicate regularly with IJM Headquarters in and with the Regional Accounting Manager, South Asia. Communicate with other Office Accountants for control account transactions;
- Notify Regional Accounting Manager, South Asia and Headquarters of any income other than transfer from HQ; ensure source of income is allowable under legal status;
- Maintain leases, contracts, manage any security or other deposits, provide copies to Headquarters; Maintain inventory for fixed assets get it agreed to Headquarters Fixed Asset system and small tools;
- Maintain confidentiality of privilege and sensitive information; and
- Administrative duties as needed.
Travel Requirements
Travel from time to time for meetings or conferences.
Required Skills and Experience
- Minimum two years hands-on accounting experience, preferably a non-profit organization;
- Bachelors in Accounting or equivalent degree;
- Knowledge and understanding of financial software and principles of accounting & bookkeeping;
- Knowledge of Microsoft Suite Software, and Windows XP. Experience with QuickBooks preferable; and
- Fluent in written and spoken English, including accounting/business terminology.
